Syntri Labs Inc ("we," "our," or "us") is a digital marketing and automation agency based in Calgary, Alberta, Canada. We operate at syntrilabs.com and provide marketing systems, paid media, automation and AI integration services to businesses across Canada and internationally.

Information We Collect
We collect personal information only to the extent needed to provide our services.
Information you provide directly
- Name, email address and phone number when you submit a contact or intake form
- Business name, industry and marketing goals when completing our onboarding questionnaire
- Communication history: emails, messages and notes from calls or meetings
- Payment and billing information, processed securely through third-party payment providers; we do not store card details
Information collected automatically
- IP address, browser type, operating system and referring URL
- Pages visited, time spent on site and navigation behaviour via analytics tools
- Cookie identifiers and similar tracking technologies
- Device type and screen resolution for performance optimisation
Information from third parties
- Information from advertising platforms (Meta, Google) when you interact with our ads
- Publicly available professional information from LinkedIn or other networks
- Referrals from existing clients or partners

Third-Party Services
We use trusted third-party tools that may process personal data on our behalf: Google Analytics, Meta, HubSpot / Zoho CRM, Make / n8n, Google Meet, Stripe and payment processors, and Google Workspace. Each provider has its own privacy policy, and we only use providers that meet appropriate data protection standards.
Data Retention
- Prospective client enquiries: up to 24 months unless you request earlier deletion
- Active client data: for the engagement plus 7 years for legal and accounting purposes
- Website analytics: typically 26 months, per Google Analytics defaults
- Marketing communications: until you unsubscribe or request removal
When data is no longer needed, we delete or anonymise it.
Sharing & Disclosure
We do not sell your personal information. We may share it only with service providers who process data on our behalf, where required by law or a regulatory authority, as part of a merger or sale of assets (you will be notified), or with your explicit consent.
Your Rights
Under PIPEDA and applicable provincial laws you can request access to the information we hold, ask us to correct it, withdraw consent for marketing, request deletion (subject to legal retention), and file a complaint with the Office of the Privacy Commissioner of Canada. Security
We take reasonable steps to protect your information: encrypted transmission (HTTPS/TLS), access controls, password management and multi-factor authentication for internal systems, and regular review of provider security. No internet transmission is fully secure. If a breach creates a real risk of harm, we notify affected individuals and the Privacy Commissioner as required by law.
Changes to This Policy
We may update this policy to reflect changes in our practices, services or legal requirements. When we do, we update the "Last updated" date at the top. Continued use of the website after changes are posted means you accept the updated policy.
